Invoicing tools with WhatsApp reminders for Indian agencies: a comparison
A growing number of Indian invoicing tools now send payment reminders over WhatsApp rather than only email — worth distinguishing from a plain "share invoice via WhatsApp" button, which nearly every tool has and which still requires opening the app and tapping share by hand each time. Below is what a few of them actually do, current as of writing, with pricing noted only where it could be confirmed directly.
Zoho Invoice
Free for unlimited invoices and customers in India. Supports GST invoicing natively, and has a toggle-based automated WhatsApp reminder setting for overdue payments, not only a manual share option. As part of the wider Zoho ecosystem, it fits agencies already using other Zoho products more naturally than one used standalone.
Refrens
Has a genuinely automated WhatsApp reminder system — scheduled reminders before and after the due date, with customizable frequency, built on the WhatsApp Business API rather than a share button. Supports GST invoicing. A paid tier exists above the free 15-document plan, but the exact current price varies enough across sources that it is worth checking directly on Refrens before comparing.
Vyapar
Built around GST billing, e-invoicing, and e-way bills for small businesses, with automated payment reminders triggered by due date, sent from the business’s own number, in addition to one-tap manual sharing. Desktop pricing is reported by third parties in the low thousands of rupees annually; a mobile-only tier is free.
myBillBook
Paid plans start under ₹300 a month billed annually, with GST billing and e-invoicing on higher tiers. Its WhatsApp capability is harder to pin down precisely — it is marketed partly as bulk WhatsApp/SMS marketing messages on some plans, and it is not fully clear from public information whether automated per-invoice payment reminders are included at every tier or only marketing sends. Worth confirming directly with myBillBook before assuming reminder automation is included.
Where Paxbil is different
Most of the tools above added WhatsApp as a feature onto a broader accounting or billing product. Paxbil starts from the opposite direction: a smaller, invoicing-and-follow-up tool built specifically around a UPI-first payment link and a fixed automated WhatsApp reminder sequence (3 days before it's due, on the due date, then 3 and 7 days after) as the core loop, not an add-on. There is no monthly subscription — the first fifty invoices are free, then a small per-invoice fee, with no gateway sitting between the client's payment and the freelancer's account.
For an agency that already needs full accounting — purchase orders, inventory, multi-user roles — a broader tool like Zoho or Vyapar will cover more ground. For a freelancer or small agency whose actual problem is "invoices go unpaid because nobody follows up," a tool built around that one loop is often the simpler fit.
