These Terms & Conditions ("Terms") govern your access to and use of Paxbil, an invoicing and automated WhatsApp payment-reminder service operated by Paxbil, 72, Ajeesh Bhavan, Malayadi, Malayadi Post, Kanyakumari District, Tamil Nadu, India, PIN 629153 ("Paxbil", "we", "us", "our"). By creating an account or using Paxbil, you agree to these Terms. If you do not agree, do not use the service.
1. Who can use Paxbil
Paxbil is intended for freelancers, small businesses, and similar entities issuing invoices to their own clients. You must be at least 18 years old and legally capable of entering into a binding contract to create an account. You are responsible for the accuracy of the information you provide, including your business name, WhatsApp number, and payment details (UPI ID for India, PayNow ID for Singapore).
2. Your account
You are responsible for maintaining the confidentiality of your login credentials and for all activity under your account. Paxbil may require WhatsApp-based one-time-password verification at registration and, by default, at login, as an account-security measure. Notify us immediately at contact@paxbil.com if you suspect unauthorized use of your account.
3. What Paxbil does
Paxbil lets you:
- Create and send professional invoices to your clients, including GST calculations where applicable;
- Automatically send WhatsApp payment reminders to your clients on a fixed schedule relative to the invoice due date, until the invoice is marked paid or the reminder limit for that invoice is reached;
- Share a public, link-based view of an invoice with your client so they can see the amount due and your payment details;
- Track invoice and payment status, and export basic reports.
Paxbil does not process payments on your behalf. Any payment made by your client via UPI, PayNow, or another method happens directly between you and your client, outside of Paxbil. We are not a party to that transaction and are not responsible for verifying, collecting, or refunding payments.
4. Invoice credits and pricing
New accounts receive a number of free invoices as shown at signup. Beyond that allowance, sending an invoice consumes one prepaid invoice credit at the price shown in your account at the time of purchase. Prices are set per market and may include a limited-time promotional price alongside the standard list price; the price you are charged is the price displayed to you at the time you buy credits. Prices, the free-invoice allowance, and promotional offers may change at any time and will apply prospectively, not to credits already purchased.
Invoice credits are non-refundable once consumed (i.e., once used to send an invoice). Unused credits are not automatically refunded if you close your account, except where required by applicable law.
5. Acceptable use
You agree not to use Paxbil to:
- Send invoices, reminders, or messages that are fraudulent, deceptive, or for a transaction that does not exist;
- Send unsolicited, abusive, or unlawful content to any client via the WhatsApp reminder feature;
- Attempt to circumvent invoice credit limits, rate limits, or account security controls;
- Use the service in a way that violates applicable law, including tax, consumer-protection, or data-protection law in your jurisdiction.
We may suspend or terminate accounts that we reasonably believe violate this section, with or without notice, to protect the service and other users.
6. Your responsibility for client data
When you add a client or create an invoice, you provide us with your client's personal information (such as name, WhatsApp number, and email) so we can generate the invoice and send reminders on your behalf. You confirm that you have the right to share this information with us and that your own use of Paxbil complies with applicable data-protection law with respect to your clients, including obtaining any consent required to contact them via WhatsApp.
7. Third-party services
Paxbil relies on third-party providers to operate — including a messaging provider to deliver WhatsApp messages, cloud storage to host generated invoice PDFs, and a database host. Delivery of WhatsApp messages depends on factors outside our control (e.g. the recipient's WhatsApp status, network conditions, or the messaging provider's own availability), and we do not guarantee that every reminder will be delivered or read.
8. Service availability
We aim to keep Paxbil available and reliable but do not guarantee uninterrupted or error-free operation. We may modify, suspend, or discontinue any part of the service, including specific features, at any time.
9. Limitation of liability
To the maximum extent permitted by law, Paxbil is provided "as is" without warranties of any kind. We are not liable for indirect, incidental, or consequential damages arising from your use of the service, including missed or delayed payment reminders, disputes with your clients, or losses arising from a payment made or not made outside the platform. Our total liability for any claim relating to Paxbil is limited to the amount you paid us for invoice credits in the three months preceding the claim.
10. Termination
You may stop using Paxbil at any time. We may suspend or terminate your access if you breach these Terms, misuse the service, or if we discontinue the service, with notice where reasonably practicable.
11. Changes to these Terms
We may update these Terms from time to time. Material changes will be reflected by updating the "Last updated" date above. Continued use of Paxbil after changes take effect constitutes acceptance of the revised Terms.
12. Governing law
These Terms are governed by the laws of India. Any dispute arising from these Terms or your use of Paxbil is subject to the exclusive jurisdiction of the courts having authority over Kanyakumari District, Tamil Nadu, India.
