This Privacy Policy explains how Paxbil, 72, Ajeesh Bhavan, Malayadi, Malayadi Post, Kanyakumari District, Tamil Nadu, India, PIN 629153 ("Paxbil", "we", "us", "our") collects, uses, and protects personal information when you use our invoicing and WhatsApp payment-reminder service. It is written primarily with reference to India's Digital Personal Data Protection Act, 2023, and applies equally, with the same substantive protections, to users in Singapore and any other market we support.
1. Information we collect about you
When you create and use a Paxbil account, we collect:
- Account details: email address, password (stored only in encrypted/hashed form, never in plain text), business name, WhatsApp number, and your payment collection ID (UPI ID or PayNow ID);
- Business settings: your default GST/tax rate and, optionally, a business logo;
- Usage data: your invoice credit balance, invoices created, and reminder activity;
- Verification data: a one-time-password sent to your WhatsApp number to verify your identity at registration and, by default, at each login. The OTP itself is stored only briefly, in encrypted form, and is not retained after verification.
2. Information we collect about your clients
When you add a client or create an invoice, you provide us with that client's name, WhatsApp number, email address (if entered), and the invoice details (line items, amounts, due date). We process this information solely to generate the invoice, host the public invoice link, and send the automated WhatsApp reminders you configure. You, not Paxbil, are the party responsible for having a lawful basis to share your client's information with us — see Section 6 of our Terms & Conditions.
3. How we use your information
- To create and operate your account, including authentication and 2FA;
- To generate invoices and invoice PDFs, and to serve the public invoice link you share with clients;
- To send automated WhatsApp payment reminders on your behalf, on the schedule the service provides;
- To calculate and track your invoice credit balance and process credit purchases;
- To maintain the security and integrity of the service, including rate-limiting and fraud prevention;
- To communicate with you about your account or the service.
We do not sell your personal information, or your clients' personal information, to third parties.
4. Who we share information with
We share information with the following categories of service providers, only as needed to operate Paxbil:
- Messaging provider (Twilio): to deliver WhatsApp reminders and OTP codes, we send the recipient's WhatsApp number and the message content — which includes the client's name, your business name, invoice number, amount due, due date, and your payment ID — to our messaging provider for delivery.
- Cloud storage (Amazon Web Services): generated invoice PDFs, which may contain your business details and your client's name, email, WhatsApp number, and the invoice line items, are stored with our cloud storage provider.
- Database hosting (Neon): all account and invoice data described above is stored in our hosted database.
We do not currently process payments through a third-party payment gateway — invoice credit purchases are recorded directly by Paxbil. If we integrate a payment gateway in the future, this Policy will be updated to reflect what payment data that provider receives.
We may also disclose information where required by law, to enforce our Terms, or to protect the rights, property, or safety of Paxbil, our users, or others.
5. Cookies and local storage
Paxbil does not use tracking cookies or third-party analytics/advertising scripts. Our web app uses your browser's local storage to keep you signed in (your session token) and to remember basic display preferences (such as your selected market). This data stays on your device and is used only to operate the app for you.
6. Data retention
We retain your account and invoice data for as long as your account is active, and for a reasonable period afterward as needed to comply with legal, tax, or accounting obligations, resolve disputes, and enforce our agreements. If you wish to close your account or request deletion of your data, contact us at contact@paxbil.com and we will act on your request in accordance with applicable law.
7. Your rights
Subject to applicable law, you may have the right to access, correct, or request deletion of your personal information, and to withdraw consent where processing is based on consent (for example, WhatsApp OTP verification). To exercise these rights, contact us at contact@paxbil.com. We may need to verify your identity before acting on a request.
If you are a client who received an invoice or a WhatsApp reminder through Paxbil, we process your information as directed by the Paxbil account holder who invoiced you (see Section 2). Requests to access or delete your information should generally be directed to that business; you may also contact us directly and we will assist where we are able to.
8. Security
We use industry-standard measures to protect your information, including encrypted password storage, token-based authentication, and WhatsApp-based two-factor verification. No method of storage or transmission is completely secure, and we cannot guarantee absolute security.
9. International data transfer
Our infrastructure providers may process or store data outside your home country. Where this occurs, we rely on those providers' own security and compliance standards to protect your information in transit and at rest.
10. Children's privacy
Paxbil is intended for business use by adults and is not directed at, or knowingly used by, individuals under 18.
11. Changes to this Policy
We may update this Privacy Policy from time to time. Material changes will be reflected by updating the "Last updated" date above. We encourage you to review this page periodically.
